Facilities Coordinator

Job Description Summary
The Facilities Coordinator ensures an optimal working environment for all staff members based at the Cambridge, UK office by coordinating full maintenance services for the facility and its equipment, in addition to promoting the organizational health and safety performance at STEMCELL.

Reporting to the Facilities Compliance Manager based in Canada, the Facilities Coordinator role will be responsible for the day-to-day running of the facility through the implementation of best practice methodologies and ensuring a high level of service is delivered to our staff based in the UK.

Duties and Responsibilities

Facility and Equipment

Coordination of the routine maintenance, repairs and resolution of problems associated with all building services, including but not limited to: the work space, meeting rooms and related equipment, interior furnishings, fixtures and facilities equipment.

Be on-call to respond to critical alarms.

Assist with the Equipment Maintenance Program:

New equipment specifications and requirements, including sourcing and installation.

New equipment commissioning or validation (IOPQ).

Maintenance and calibration of equipment in Europe (departments involved by office: Primary- Cambridge: R&D, EDU, INS, secondary support if needed- Grenoble: DIS, Cologne: INS).

Sourcing suppliers, scheduling the maintenance orders and ensuring all service requests are completed on time.

Managing and reviewing the service contracts and conditions.

Open and facilitate closure of Non Conformance Reports (NCRs), Supplier Corrective Action Reports (SCARs) or deviations as required.

Participate in updating STEMCELL’s Standard Operating Procedures (SOPs) and provide training to EU staff as required.

Health and Safety

Record safety training and submit to Headquarters.

Chair the JOHSC meetings, prepare safety minutes and distribute.

Manage regional incident and accident reporting files and facilitate investigations. Submit paperwork for the reportable injuries to the appropriate local agencies.

Conduct safety training and orientation sessions (e.g. New Hires Safety / Security / Facilities / Supervisor Safety training etc).

Review and update the safety training programs to ensure compliance with the local jurisdiction's regulations.

Conduct qualitative respirator fit testing.

Facilitate closure of safety requests and actions as required.

Liaise with safety vendors, safety agencies or other enforcement bodies in the local jurisdiction.

Support and conduct safety walkthroughs and inspections.

Support, coordinate and/or update emergency evacuation response procedures.

Coordinate the first aid team training and first aid room inventory supplies as needed.

Work on projects to improve Occupational Health and Safety (OHS) compliance and STEMCELL’s Safety Program improvements.

Provide information and act as a resource to the Joint Health and Safety Committee, site safety personnel and site superintendents.

Maintain up-to-date knowledge of jurisdictional Codes and OHS legislation. Act as a Fire Director.

Qualifications

Technical Diploma or relevant certifications.

Strong previous experience of facilities, building services and equipment maintenance.

Working knowledge of occupational health and safety regulations and practices in the UK.

Comprehensive knowledge of equipment calibration and their applications, including commissioning, test standards, troubleshooting, repairs and optimization of manufacturing equipment.

Customer-focused mindset with strong interpersonal skills.

Excellent communication skills (verbal, written and presentation).

Detail-oriented and proficient at time management.

Team orientated – ‘one-team’ behavior is a must.

Salary: £35,000
