The Role:
We are seeking a dedicated EHS & Lab Assistant, Shipping & Sample Administrator to join our team onsite in Cambridge, UK, five days a week. In this dynamic role, you will provide vital support across various functions, including Environmental Health and Safety (EHS), facilities, lab operations, shipping, stockroom, and site housekeeping. You will play a key role in supporting our scientists and facilities, ensuring safety protocols are upheld, shipments are managed efficiently, and the lab environment remains organized and well-stocked.
In the role you will:
EHS:
•       Provide a New Hire Orientation tour of the facility.
•       Support the new hire onboarding by providing the new employee to the Agenus e-learning database and assign appropriate and required training.
•       Follow up and maintain accurate completions in the e-learning database.
•       Participate in the Safety Committee meetings by taking meeting minutes.
•       Updating EH&S emergency contact numbers/First Aid/Fire Marshal details.
•       Monthly Spill Kit checks and replenishing if necessary.
•       Monthly First Aid kit checks and replenishing if necessary.
•       Monthly Fire Extinguisher checks.
•       Create ID numbering and supply Hazardous Class 2 labels for waste bins for each lab.
•       Lab Audits
•       Fire Marshal
•       CEMS chemical inventory management & eLearning
•       Maintaining the SDS files physical/electronically/CEMS
Shipping and Sample Administrator:
•       Maintain an effective shipping process for all samples leaving Cambridge.
•       Obtain sample lists from Cambridge scientists, generate draft Customs Invoice / End User Letter and USDA Statement, determine shipping date and handle shipping pick up.
•       Work with Lexington & Agenus West logistics teams to set up shipments and ensure all paperwork (e.g., Customs invoice, AWB, End User letter, USDA statement) is accurate and up to date.
•       Maintains good record keeping and regular updates of Monday.com board for communication of shipping status with the wider team.
•       Regular check-ins with scientists if any part of the shipment contents is unclear.
•       Flexibility with late submissions.
Lab Operations:
•       Supporting scientists with day-to-day lab support, (moving small lab equipment etc.)
•       Making media, Antibiotics and Agar plates.
•       Re-stocking consumables in lab
•       Clinical & Hazardous waste removal from labs.
•       PPE – Supply and laundry responsibility.
•       Glass washing and autoclaving.
•       Freezer cleaning, remove ice buildup and brush out
•       Responding to KACE tickets/special orders of media and plates.
Receiving and Stockroom Support:
•       To put away consumable deliveries into stores and maintain a high level of organisation and tidiness, also distribute non stores deliveries to labs & scientists
•       Oracle receiving/filing all received packing slips.
•       Replenish consumable stock in labs - maintain accurate inventory levels
•       Observe safe chemical handling practices
Housekeeping:
•       Manage the contract cleaning contract, ensuring site is kept to the required standard, accompanying contract manager on cleaning audits, raising any cleaning concerns Requesting ad-hoc cleaning/deep cleans.
•       Booking window cleaning
Qualifications: About You
•       Microsoft Office proficiency (Excel, Word, PowerPoint) required.
•       Strong written and verbal communication skills.
•       Able to lift/move up to 50 pounds.
•       Able to perform work assignments which may include lifting, bending, stooping, sitting, leaning, etc.
•       Strong organization and time management skills as well as the ability to multitask.
•       Able to build relationships with scientific staff of all levels.
•       Able to track and manage projects and deliverables through completion
•       Able to work well under pressure and manage shifting priorities to deliver with a sense of urgency.
•       Must be self‐motivated and able to pro‐actively identify opportunities to improve lab efficiency and safety.
•       Pro‐actively address facility issues.
•       Able to listen effectively and invite response and discussion while collaborating with individuals/groups across multiple departments and functions to promote efficiency and a culture of safety.
