Role Overview

Reporting to the Senior Executive Assistant (SEA), the Executive Support Administrator (ESA) will provide high-level administrative support to the Head of Corporate Development and Head of Development, while also assisting the wider Leadership Team and business as needed. This role involves close collaboration with the SEA and the Operations team to ensure smooth workflows and uphold the company’s values of passion, boldness, integrity, and teamwork. The successful candidate will be a strong team player with a proactive, collaborative approach.

Key Responsibilities

Meetings

  • Organise and provide meeting support for the Head of Corporate Development and Head of Development, as well as the wider Leadership Team when required.
  • Coordinate regular R&D Operations Leadership Team meetings, internal/external science review meetings, clinical meetings, and other external engagements.
  • Prepare agendas, take accurate minutes, and distribute them promptly where required.
  • Provide ad hoc meeting support and administrative assistance, as required, across the business.

Travel

  • Manage complex domestic and international travel arrangements for the Head of Corporate Development, Head of Development and wider Leadership Team as required, including booking flights, hotels, and transfers, in line with company policies and budgets.
  • Provide similar seamless travel coordination for the wider business as required.

Conferences:

  • Book attendance at industry events, manage conference registrations, and coordinate all related travel requirements.
  • Maintain conference tracking spreadsheets, monitor spend and liaise regularly with the Finance team to ensure accurate cost reporting.

General Office Administration

  • Support the SEA with contract management, including maintaining the ContractSafe database, updating workflows, and ensuring timely turnaround of documentation using this online filing and e-signature platform.
  • Ensure accuracy and security of all contracts and draft and manage execution of confidential disclosure agreements (CDAs).
  • Process monthly credit card expenses promptly.
  • Manage weekly office shopping and stationery orders.
  • Assist the wider Operations team with daily office tasks, including deliveries and visitor bookings.

Team Support

  • Coordinate and manage our team-building activities, seminars, and onsite charity events.
  • Assist the SEA with planning and execution of company-wide events as required.
  • Support the social committee with events and lunchtime learning sessions.

Collaboration & Additional Support

  • Work closely with Operations teams (Facilities, Finance, People) providing assistance as needed to support organisational objectives.
  • Provide cover for the SEA when required.
  • Undertake additional EA-related responsibilities as needed to support evolving business requirements.

Candidate profile

  • Previous experience with a strong administrative background.
  • Excellent communication skills and proven ability to manage multiple complex calendars and scheduling across diverse locations and time zones. You should be adept at coordinating both domestic and international travel, as well as organising meetings and events at all levels of the organisation.  
  • Proficiency in IT, particularly with Word, Excel, and PowerPoint, is essential.
  • Excellent organisational skills to be able to prioritise and handle multiple conflicting assignments at pace and with accuracy, whilst maintaining integrity and confidentiality.
  • Ability to work independently yet with a collaborative style with the SEA and wider colleagues.
  • Proactive approach, actively contributing to a vibrant and innovative working environment where improvements and new ideas are adopted and freely shared among the teams.
  • Adaptability and resilience to work in a fast-paced, quickly changing environment, showing agility, flexibility and a can-do attitude to meet deadlines and goals.
