Your role in our team:
We are seeking a Recruitment Administrator / Coordinator with previous experience of working in a similar role in a busy & fast-paced environment to support us in delivering a first-class bit.bio recruitment process and candidate experience. Reporting to our Talent Acquisition Partner you may also manage the end-to-end recruitment process for assigned vacancies as required.
Your key responsibilities will include:
Management of Greenhouse ATS recruitment administration activities
Posting jobs on relevant job boards (eg, LinkedIn) directly, maintaining the bit.bio careers page and uploading jobs onto third party websites (eg, Universities, networking sites etc)
Scheduling interviews, liaising with hiring managers, candidates and recruitment partners; preparing interview schedules and issuing supporting documentation
Facilitating on-site interviews ensuring they run smoothly and provide a first-class hiring manager and candidate experience
Notifying unsuccessful candidates at the conclusion of each recruitment process, dealing with requests for feedback and providing administrative support to ensure the successful conclusion of each recruitment campaign
Supporting the offer process - preparing offer letters and related documents
Maintaining up-to-date recruitment and candidate records in Greenhouse ATS
Management of GDPR related data cleansing activities in Greenhouse ATS
Supporting pre-employment activities - right to work, references etc
As required, manage the end-to-end recruitment process for assigned vacancies
Supporting preparation for, and attendance at, career fairs and other recruitment events
General
Dealing with hiring manager and candidate queries
Dealing with agency partner queries
Supporting new and ongoing Talent Acquisition and People projects
Dealing with job board and external supplier queries
Management of recruitment operations tracker and support recruitment reporting activities

Will have previous experience as a coordinator/administrator/assistant in a recruitment-oriented role in a busy, fast-paced environment
Have an understanding of key recruitment processes an an appreciation of relevant employment law including GDPR
Are people-focused and committed to treating people well. You leave hiring managers and candidates feeling valued and cared for
Are skilled at juggling multiple priorities and have effective systems to keep yourself on track and organised
Are meticulous with high attention to detail
Are action-oriented; committed to delivering results and finding solutions to challenges
Have excellent communication skills; whether communicating by email, verbally or face to face you get your message across clearly, keeping people informed and engaged
With essential experience in…
Working with and keeping Applicant Tracking Systems up-to-date (preferably Greenhouse)
A wide range of IT applications such as Microsoft Office (word, excel, powerpoint) and/or G-Suite
